CHILD SAFETY POLICY

ZDPrinting D&D Sessions
1. Our Commitment
ZDPrinting is committed to the safety, wellbeing, and dignity of every child who participates in our Sessions. We have zero tolerance for child abuse, harm, or neglect.
This Policy is informed by the National Principles for Child Safe Organisations and the requirements of the Child Protection (Working with Children) Act 2012 (NSW). It applies to everyone engaged by ZDPrinting in any capacity — the owner, contractor DMs, and any other person involved in delivering Sessions.
2. Who This Applies To
- Zaden Alexander Zeus, owner of ZDPrinting.
- All contractor DMs.
- Any volunteer, helper, or guest involved in a Session.
Each of these people must read this Policy, sign the acknowledgement, and follow it whenever providing Services for ZDPrinting.
3. Working with Children Checks
Under section 8(1) of the Child Protection (Working with Children) Act 2012 (NSW), people under 18 are not engaged in "child-related work" and are exempt from the requirement to hold a WWCC. The rules below apply that exemption.
- Every DM aged 18 or over who runs a Session that may involve a Player under 18 must hold a current NSW WWCC, or the equivalent in another State or Territory where they run a Session.
- Before any DM aged 18+ runs their first Session involving Players under 18, ZDPrinting will verify their WWCC number through the NSW Office of the Children's Guardian online verification system.
- DMs under 18 are exempt from the WWCC requirement, but are still bound by every other part of this Policy and the Code of Conduct.
- A DM who is under 18 must notify ZDPrinting before turning 18 so a WWCC application can be lodged in time. They must hold a verified WWCC before running any Session involving Players under 18 from their 18th birthday onward.
- ZDPrinting will keep a record of WWCC numbers, expiry dates, and verification dates for all DMs aged 18+.
- DMs aged 18+ must immediately tell ZDPrinting if their WWCC is suspended, refused, revoked, or expires. They must not run Sessions involving Players under 18 in those circumstances.
- ZDPrinting will not engage anyone whose WWCC application is refused or who is otherwise prohibited from working with children.
4. Safe Environment — Physical
- Sessions involving Players under 18 are run in public-facing areas of public venues (currently Professor Plum's in Crows Nest and Decked Out Gaming in Brookvale). Private homes are not used for Sessions involving Players under 18 unless the parent or guardian is present throughout.
- DMs must never be alone with a Player under 18 in a private space (toilet, storeroom, car, etc.).
- If a Player under 18 needs a private conversation (e.g. they're distressed), the DM must keep the conversation in line of sight of others, or wait for the parent/guardian or another adult.
- Physical contact is limited to incidental, public, age-appropriate contact (e.g. a high-five, brief shoulder tap to get attention). Hugs, lap-sitting, and prolonged physical contact are not appropriate.
5. Safe Environment — Online and Communication
- All communication between DMs and Players under 18 must take place through ZDPrinting's approved channels: the booking system, the ZDPrinting Discord server, or in-person at a Session.
- DMs must not direct-message Players under 18, follow them on personal social media, exchange phone numbers, or invite them to private servers, group chats, or platforms outside ZDPrinting.
- Communication about a child must, where practical, also include a parent or guardian — e.g. by copying the parent on emails about a Session.
- If a Player under 18 contacts a DM through a personal channel, the DM must not respond, must screenshot the contact, and must report it to ZDPrinting.
6. Content and Conduct
- No sexual or sexually suggestive content of any kind in Sessions involving Players under 18. No exceptions, even with parental or player consent.
- No depictions of child abuse, exploitation, or sexualisation, in any framing or fictional context.
- Violence and intense themes must be calibrated to the youngest Player at the table.
- DMs must use a session-zero or session-one safety conversation to set content expectations and offer at least one safety tool (lines and veils, X-card, or open door).
- DMs must respect safety tool use immediately, without negotiation or pushback.
7. Parental Involvement
- Before a Player under 18 attends their first Session, a parent or guardian must complete the ZDPrinting Parental Consent Form. The form captures emergency contacts, medical information, content sensitivities, and consent for incidental photography.
- For Players under 14, a parent or guardian is encouraged to remain at or near the venue, particularly for the first Session, so they can be reached quickly.
- Parents or guardians may observe a Session at any time.
- Parents or guardians may withdraw their child at any time and are entitled to refunds in line with ZDPrinting's Refund & Cancellation Policy.
8. Recruitment and Screening
Before engaging a DM, ZDPrinting will:
- verify their identity using a government-issued ID;
- for DMs aged 18 or over, verify their WWCC number through the Office of the Children's Guardian (DMs under 18 are exempt under section 8(1) of the Act);
- require them to read and sign the DM Contractor Agreement, the Code of Conduct, and this Policy;
- conduct an informal interview about their experience and approach to running Sessions; and
- ideally, observe them running at least one Session before assigning them to run unsupervised Sessions involving Players under 18.
9. Responding to Concerns, Disclosures and Complaints
Anyone — child, parent, DM, venue staff, or bystander — can raise a concern. Concerns will be taken seriously, treated with discretion, and not result in retaliation.
9.1 If a child discloses harm to you (DM)
- Listen calmly. Don't promise confidentiality.
- Don't question the child in detail or investigate yourself.
- Tell the child you have to share what they've told you with someone who can help.
- Make a written record of what was said, in the child's own words where possible, as soon as practicable.
- Notify ZDPrinting (Zaden Zeus) immediately by phone (0426 558 302). If Zaden is the subject of the disclosure, contact NSW Police or the Child Protection Helpline directly.
9.2 If you witness or suspect harm
- Make sure the child is safe.
- Notify ZDPrinting immediately.
- Complete the Incident Report form within 24 hours.
9.3 ZDPrinting's response
- ZDPrinting will record every concern and the steps taken in response.
- ZDPrinting will report any reasonable suspicion that a child has been or is at risk of significant harm to the NSW Department of Communities and Justice (Child Protection Helpline 132 111) and, where a criminal offence may have occurred, to NSW Police.
- Reportable conduct involving employees or contractors will be reported to the Office of the Children's Guardian as required under the Children's Guardian Act 2019 (NSW).
- A DM who is the subject of a complaint will be stood down from running Sessions involving children pending the outcome of the investigation.
10. Privacy
Information about children and families is handled in line with the ZDPrinting Privacy Policy and the Privacy Act 1988 (Cth). Records relating to child safety concerns are kept securely and only shared with the people who need to know.

12. Review
This Policy will be reviewed at least once a year, after any significant incident, or when relevant legislation changes.
